Guidelines for large GFI Archiver installations

GFI Archiver has a soft limit of 2000 mailboxes per installation. For evaluating customers who wish to archive email for more than 2000 mailboxes, multiple deployments of GFI Archiver may be required - these may be departmental or location based, where each location or department would have its own GFI Archiver installation.

The performance of GFI Archiver in these environments is dependent on the customer's mail flow and usage requirements.

1.1 Limitations of multiple deployments of GFI Archiver

The limitations of multiple deployments of GFI Archiver in a single organization are:

  • Journaling is configured on a per Microsoft Exchange Mailbox database level. Mailboxes may need to be reorganized in Exchange to have the appropriate users per Exchange store.
  • Users will need to be redirected to the relevant GFI Archiver URL to access GFI Archiver through the Web interface.
  • Emails sent to multiple users will have multiple copies archived across the organization (i.e. once per instance of GFI Archiver).

Based on our experience with installations of this size, we highly recommend the following minimum hardware and software specifications (additional to standard GFI Archiver system requirements):

Additionally, we also recommend the following GFI Archiver configuration tweaks:

Archive Store method

Archive stores must be configured with Microsoft SQL Server with File Storage to scale the installation.

Changing of Batch in EWS journaling to download larger batches.

Add the following line to Core2\\Data\\product.config (default value 5):

Reduce connections to the SQL Server

Add the following line to Core2\\Data\\product.config (default value 100):

Set number of threads in LogSettings.xml

In some scenarios, one needs to set the number of threads in LogSettings.xml to 1 instead of 5. To change, open ..\\Core\\Data\\LogSettings.xml, locate the line 5 and change to 1. Restart the GFI Archiver Core service.

 

Double check AV exclusions

Whitelist  C:\\Windows\\Microsoft.NET in addition to the following GFI Directories:

  • Install Directory
  • Index Locations
  • Database Locations
  • Binary Locations

Schedule archive stores

Configure GFI Archiver to start a new archive store on a monthly basis when using Microsoft SQL Server with File Storage (Configuration > Archive Stores > Schedule Archive).

Outlook Connector settings

Configure the settings below via Group Policy Object (GPO) and the administrative template found in ..\\Archiver\\Outlook:

  • Ensure the “days span” (default 365) is kept to its default setting and is not increased.
  • Disable Offline Access for Outlook Connector
  • Increase the Synchronization interval in Outlook Connector from default setting (5 minutes) to sync every 60 minutes

Mailbox Folder Synchronization / UMPolling

  • UMPolling should NOT be enabled in general on larger installations!
  • However, if UMPolling is used:
  • Do not enable UMPolling before importing all old emails from all mailboxes using the Import Export Tool
  • Make the following changes to the EWSPollingSettings.xml or ExPollingSettings.xml files:
  • 5
  • 30
  • 9
  • 5
  • Reduce the number of users through an AD query in ExPollSettings.xml or EWSPollSettings.xml found in Core\\Data. This would limit the number of users with folder synchronization enabled. This is only valid when not all users need to have the folders in the GFI Archiver interface. All emails would still be in GFI Archiver but they would default to Inbox or Sent Items instead.

Configure indexing

  • Reduce the indexing interval (for example, to once per hour or once per day)
  • Since large licenses tend to have large volumes of mail, disable Attachment Indexing to speed up the indexing of emails.

Configure an SQL maintenance plan.

Setup a Microsoft SQL Server maintenance plan, most importantly, index rebuild.

NOTE

GFI Software Ltd supports all GFI Archiver customers to the best of its ability - however, customers with over 2000 users in a single GFI Archiver instance will have limited support for performance related issues.

It is always suggested to make full use of a GFI Archiver trial installation when deploying in environments with large volumes of mail flow. It is also possible to request an extended evaluation to the standard 30-day trial.
